The Red River Playboys Cost Itinerary.
So that our clients can better plan and evaluate costs, we have provided the following guidelines. Be aware, these are MINIMUM computations. All cost-cutting has been factored in.
1. Normal compliment of players (7)
a. Six men and one lady. Normally, if the job is three hours drive time or less (and depending on the time we are to play, type of venue, etc.) we do not require lodging. However, if for any reason the venue requires hotel lodging then the least we will need are 4 rooms (two men to a room, one room for the female). Average cost per room is $80.00 (The RRP's don't stay in any motel we have to shoot our way out of). If a client can provide NICE rooms for a lower cost, then that will be considered, then factored in.
2. Gas Prices. That is an extreme variable depending on location and world events. Currently, we plan our prices based on a current (as of 9-1-10) average of $2.60 per gallon (which takes into account the lowest in our 4 state area at present is around $2.55 and the highest is approaching $2.75). Normally, we drive three to four vehicles (with a rented cargo van). Other than the equipment vehicle, all other vehicles (at 17 highway miles to the gallon) have about a 300 mile range on one tank (however, these numbers may vary depending on many factors). The equipment vehicle's mileage is reduced by half when hauling equipment. Therefore, a typical extended trip venue would look something like this:
a. Example...
Shreveport to Dallas. @400 miles round trip. Two to Three vehicles with 22 gallon tanks and one van with a 35 gallon tank (we factor in a 5 gallon cushion for each vehicle before having to refuel). Standard vehicles will need only one refuel, so figure TWO round trip fuelings (one to begin the trip, and one to finish). At our minimum of $2.60 per gallon times 17 gallons, this equates to $88.40 for each vehicle. The equipment vehicle will need this plus a THIRD fillup cost for the added gas used in hauling the equipment. Therefore, total round trip minimum fuel cost for 3 cars and a van would be $397.80.
3. Food and Beverage. The RRP's plan at least one meal for a traveling venue of under Three hours drive time. Obviously, if the venue provides meals and beverages then there will be no meal allowance. However, if not then we charge $25.00 per bandmember, per meal, per day. Therefore, this cost comes to $175.00 per day.
4. Bandmember salary. Even though the RRP's love to travel to exotic, far away places to ply our trade, traveling is difficult...,and sometimes VERY difficult. 'Traveling' requires us to juggle our other working schedules, and requires a great deal of thought, labor, planning, and implementation. We do our own labor (no 'Roadies' yet), so that means we load, transport, set up and tear down our own (abundantly plethoric) equipment (ON TOP of performing). It's rewarding, but HARD.
a. Especially in these tough economic times, we strive to give our clients the BEST possible quote we can. Normally, the RRP's command no less than $100.00 per man for most locally private and small venues. Otherwise, each member gets $150.00. Out of town venues will require more. Our average minimum cost per man for a two to three hour drive time venue is $300.00 per man. So, factor $150.00 for local to 1/1/2 hr. drive time venues, $300.00 for traveling venues two hours or mor drive time Any venue outside of these parameters will have to be negotiated because logistics will change. But, rest assured that the RRP's WILL work with you as much a possible in order to satisfy both parties.
